Changing prescheduled provider
Changing prescheduled provider
We have an employment change and have changed the schedule to accept the new hygienist, but the existing appointments are still listed under the prior hygienist. How do we change all prescheduled appointments to reflect the new schedule?
Re: Changing prescheduled provider
If you call into Open Dental support, we can reassign future appointments to the new hygienist.

We are not set up with the tech support yet we are waiting on the doctor to make the final say, but now our claims are not getting paid because the provider is being changed to the hyg rather than the doctor can someone help me?

I think you can solve this by changing the Default Insurance Billing Provider. To do this, go to Setup -> Practice and on the right side select the appropriate radio button (Default Practice Provider, Treating Provider, or Specific Provider).

Thank you! Also when I add a patient to the new hygienist schedule it changes the doctor to the hygienist how do I fix that now?
Re: Changing prescheduled provider
Sounds like you need to change the provider and/or hygienist on your operatories. Go to Setup -> Appointments -> Operatories, then double-click on the operatory and change the provider and the hygienist.

Re: Changing prescheduled provider
what box do I select "set Prospective?"
Re: Changing prescheduled provider
You probably want to leave that one unchecked. When checked, the status for all patients in this operatory will be set to 'prospective' (in the Edit Patient Information window).

ok when I submit the claim the treating dentist is still coming up as the hygenist
Re: Changing prescheduled provider
I would recommend signing up for support and calling in about this. It will be much easier to troubleshoot if we can connect to your computer and see what's going on.

ok for now I will just try and work with it thank you!
Re: Changing prescheduled provider
Your Hygenist needs to be marked as a secondary provider in Lists > Providers.
And tell the doc that $159 is way cheaper than denied claims. Trust me on that one (Cleaning up over $100k of unpaid claims mess due to an incorrect setup).

Did anyone figure this out? We are having the same problem as the OP. Hyg appts are being scheduled with the previous hygienist as provider.

There are a few places you can check to make sure appointments and procedures are being assigned correctly, I'll bullet point them below:
* Navigate to your Operatory setup menu (Setup > Appointments > Operatories) to make sure that the person assigned as a Hygienist to the operatory is the new hygienist
* As Arna stated previously, you will want to make sure that your new hygienist is marked as a Secondary Provider under Lists > Providers
* Check the schedule (Setup > Schedules) in Open Dental to make sure that the person scheduled for time in that operatory is the new hygienist and not the former hygienist
* You can also look into procedure-level provider assignments. Go to Lists > Procedure Codes and double click on your hygiene procedures. There will be a dropdown menu inside of them asking if you want to assign the procedure to a specific provider when it is charted. If this is set to your previous hygienist you can simply change this to be your new one.
Hope this helps!

Sounds like your previous hygienist is still scheduled in that operatory or is still assigned to the operatory itself.Mgostigian wrote:Did anyone figure this out? We are having the same problem as the OP. Hyg appts are being scheduled with the previous hygienist as provider.

Thanks. It looks like the only one I missed was the schedule setup. Made the changes and will see if that did it.JasonL wrote:@Mgostigian
